Free SEO Proposal Template: Word, PDF and a Filled Example

By the PNext team · Updated 26 October 2026

An SEO proposal has one job: to help a client say yes to the right work for the right reasons. Most proposals fail because they are either a generic sales brochure or a 60-page audit nobody reads. The ones that win are short, specific to the client’s site, and honest about what SEO can and cannot do.

Below is the structure we use, a free template you can download and adapt, and notes on each section, including how to present pricing.

WHAT YOU’LL LEARN
  • ✓The sections every SEO proposal needs
  • ✓How to present audit findings
  • ✓Writing a realistic timeline
  • ✓How to structure a pricing table
  • ✓Common mistakes
The short answer

What should an SEO proposal include?

An SEO proposal should include a short summary of the client’s goals, the key findings from an initial audit, the recommended strategy, a clear scope of work, a realistic timeline, a pricing table, how results will be reported, and the terms. It should be specific to the client’s website and avoid guarantees of rankings.

The Word file opens in Google Docs too: File, Open, Upload.

Structure

The sections of an SEO proposal

01

Goals in the client’s words

One paragraph restating what they want, ideally in revenue or lead terms. It shows you listened.

02

What we found

Three to five findings from a quick audit, each with why it matters. Screenshots from Search Console or a crawl make it real.

03

Recommended strategy

The approach in plain language: what you will prioritise and why, not a list of every SEO tactic.

04

Scope of work

Exactly what is included each month, and what is not, so expectations are clear.

05

Timeline

A quarter-by-quarter plan. Our SEO roadmap template shows a typical shape.

06

Pricing

A simple table with options; see below.

07

Reporting

What the client will see each month and how success will be measured.

08

About you

Relevant experience and the people who will do the work.

09

Terms

Contract length, notice period, ownership of content and accounts, and payment terms.

Pricing

How to structure the pricing table

OptionBest forWhat is included
FoundationFixing the basicsTechnical fixes, on-page optimisation of key pages, reporting
GrowthMost clientsFoundation plus monthly content and local SEO
AuthorityCompetitive marketsGrowth plus link building and digital PR

Three options work well because clients can choose scope rather than haggle on price. Put your own prices in each row and state clearly whether they are monthly, the minimum term, and what changes the price.

The winning section

How to write audit findings that win the client

The “what we found” section does more to win the work than any other. Clients rarely buy SEO because of a strategy slide; they buy it because you showed them something specific about their own site that they did not know. Each finding should follow the same pattern:

01

What we found

A plain statement with evidence: “42 of your 60 service pages are not indexed”, with a Search Console screenshot.

02

Why it matters

In business terms: “these include your three highest-margin services, so Google cannot show them to customers searching for them”.

03

What we would do

The fix in one sentence, and roughly how long it takes.

04

What it could change

A careful, honest estimate, such as the search demand those pages could reach, without promising rankings.

Three to five findings like this are enough. Pick the ones with the clearest business impact, not the longest list of technical warnings from a crawler.

Expectations

Presenting the timeline and reporting

PeriodWhat the client should expectHow you will show progress
Month 1Audit, fixes to the most serious technical issues, tracking set upA list of work completed and baseline numbers
Months 2 to 3On-page improvements to priority pages, first new contentEarly ranking and impression changes in Search Console
Months 4 to 6Content and links building on the foundationsGrowth in organic clicks to target pages
Months 6 to 12Compounding results in the priority areasEnquiries or revenue from organic search

Setting expectations this clearly protects the relationship. Clients who expected page one in a month leave in month three; clients who saw this table stay to month twelve.

Follow-up

What to do after you send the proposal

  • Walk them through it. Book a 30-minute call to present the proposal rather than sending a PDF into silence.
  • Follow up with one useful thing. A quick fix they can make themselves builds trust while they decide.
  • Set a decision date. Agree when you will speak again, rather than chasing indefinitely.
  • Learn from losses. Ask clients who say no what tipped the decision, and update the template.
Avoid these

Common SEO proposal mistakes

Guaranteeing rankings

Nobody controls Google. Promising position one is a red flag to informed clients.

Too long

Put the full audit in an appendix. The proposal itself should be readable in ten minutes.

Generic content

If the proposal could be sent to any client, it will not win this one.

Vague scope

Unclear deliverables lead to disputes later.

Example

A filled SEO proposal example

Seeing a finished proposal is often more useful than a blank template. This example is for a fictional business, written the way we would write a real one.

Client goal

Brightline Plumbing wants 25 more booked jobs a month from Google in Austin, Texas within 12 months, mainly water heater and repiping work.

Finding 1

The water heater page is not indexed. It is the highest-margin service and cannot appear in Google. Fix: internal links and an indexing request in week 1.

Finding 2

Twelve town pages share the same text. Copied pages rarely rank. Fix: merge into four genuine area pages with local detail in month 2.

Finding 3

The Google Business Profile lists 3 of 9 services and has 11 reviews. Fix: complete services and start a review process in month 1.

Recommended option

Growth: technical fixes and the profile first, then two service pages and one guide a month.

How success is measured

Calls and booked jobs from organic search and Maps, reported monthly alongside rankings for 40 agreed keywords.

The same example is included at the end of the Word and PDF templates above.
